Time Frame

07.01

The Capstone calendar can vary significantly from one semester to another, depending on the circumstances and schedule of that semester. Therefore, instead of providing an official structure that everyone must follow, we will provide a recommended timeline.

This timeline will give you a general idea of when you should start working on each new section and help you keep track of your progress. It will also remind you when you are falling behind schedule, so you can catch up before things inevitably become a last-minute disaster.

The amount of time available for Capstone can vary from semester to semester. To account for the possibility of having less time, I’m going to assume the worst-case scenario and build this timeline around a 12-week schedule.

This means that if your semester gives you more than 12 weeks, you’ll simply have extra time to work ahead, improve your project, or catch up if you fall behind. The goal is to make this timeline work even under a tight schedule, rather than assuming you’ll always have plenty of time.

General Rule: Finish Tasks Completely

Before we begin breaking down the tasks that should be completed each week, there is one general rule you should follow throughout the entire Capstone: whenever you start a task, complete it fully instead of leaving parts of it for later.

A common mistake is to treat each task as something that can be “finished later.” This might seem faster at first, but it usually creates a huge amount of unnecessary work toward the end of the semester.

For example, some teams write their Portfolio tasks separately and then wait until the end of the semester to combine everything into one Portfolio. This is an awful mistake because they then have to spend a huge amount of time rebuilding, reorganizing, and formatting everything to make it consistent.

Instead, your team should maintain a shared Portfolio throughout the semester. Set up a consistent template and design from the beginning, and add each task to the Portfolio immediately after completing it. This way, the Portfolio is being built continuously rather than being assembled from scratch at the end.

Each team member can add their own task to the Portfolio once they have completed it. However, it is preferable for the Team Leader to handle this process for the entire team.

Having one person responsible for integrating the tasks has several advantages. The Team Leader can maintain consistent formatting and design, make sure the tasks follow the same structure, and revise the work before it becomes part of the final Portfolio.

However, keep in mind that collecting, organizing, formatting, and revising the Portfolio is a significant amount of work. If the Team Leader is responsible for managing the entire Portfolio, they should naturally be assigned fewer individual tasks than the other team members to compensate for this additional responsibility.

The goal is to distribute the workload fairly, not to give one person both the team's tasks and the job of assembling the entire Portfolio.

The same rule applies to citations. Some teams leave all of their citations until the end of the semester. Not only does this take significantly more time, but it can also lead to confusion, missing sources, and incorrect order of appearance.

Instead, whenever you write a task, complete its in-text citations at the same time. Then, once you add the task to the Portfolio, immediately add the corresponding sources to the Citations in APA 7 section in Chapter Four at the end of the Portfolio.

The same approach should be used for Figures and their numbering, the poster, the text poster, and anything else that students might be tempted to postpone.

The general idea is simple. Do not keep a growing pile of “I’ll do that later” tasks. They might look harmless throughout the semester, but by the end, they can turn into a massive workload that could have been avoided simply by finishing things properly the first time.

12-week timeline

Week 1:

During the first week, you should begin working on Chapter One of the Portfolio. Start by identifying the relevant Grand Challenges, researching Prior Solutions, and defining the Problem to be Solved. At the same time, begin brainstorming and exploring possible ideas for your own solution.

Week 2:

By this point, you should continue working on Chapter One, but it is crucial that you have a clear and realistic suggested solution for your project. You should also begin preparing for your Panel Review.

Panel Review

Week 3:

By this point, the entirety of Chapter One should be complete, except for the Research section. You should also have your Panel Review approved.

If you have not finished Chapter One yet, or if you still have several mistakes that require reviewing, it is okay to continue editing it. However, you should not let Chapter One consume all of your time and delay the rest of your work. Try to find a balance between fixing what still needs to be fixed and moving forward with the next tasks.

Panel Review

Week 4:

By this point, you should be working on Chapter Two. You should also have acquired the materials needed by your group and started developing the prototype.

Week 5:

By this point, you should have completed at least the Selection of Design Requirements and Selection of Solution. You should also have made significant progress on your prototype and have already started building it.

Week 6:

By this point, Chapter Two should be complete, and your prototype should be developed enough for you to have a solid idea of what the final build will look like.

Keep in mind that finishing the initial prototype does not mean you are finished with the building process. You will probably need to improve, modify, and rebuild parts of it several times. For this reason, try to get the prototype to a functional state as early as possible.

You should also begin working on Chapter Three and start developing the Materials and Methods section. Depending on how far you have progressed with the actual construction of the prototype, this section may not be ready to be fully written yet.

Week 7:

You should continue developing and improving the prototype while working on the Materials and Methods and the Test Plan in Chapter Three.

Chapter Three .

Week 8:

By this point, you should be conducting and documenting tests on your prototype and collecting actual results. These results should then be used to begin writing the Data Collection section.

You should also begin designing your poster during this week and aim to have the overall poster design completed by the end of the week.

Data Collection

Week 9:

You should continue improving your prototype and conducting any remaining tests. At the same time, you should begin working on the Learning Outcomes in Chapter Four.

You should also start writing the Introduction for the poster, as well as the Materials and Methods and Test Plan sections.

Test Plan.

Week 10:

By this point, you should have concrete results, even if you are still making improvements to your prototype. These results should allow you to finalize the Data Collection section in Chapter Three and complete the Results section of the poster.

Week 11:

During these final two weeks, you should complete the remaining work on your prototype and make the final touch-ups needed to prepare it for evaluation.

You should also write the Analysis and Discussion sections for Chapter Four of the Portfolio, as well as the Analysis section of the poster.

Week 12:

During this final week, you should finish your poster and have it completely ready for submission. Your Portfolio should also be fully completed, reviewed, and polished.

Once these 12 weeks are over, you can shift your focus toward preparing for the Evaluation, running rehearsals, and completing your Exhibition presentation.

Technically, you can still make changes to your prototype until the actual evaluation day. However, any changes made at this stage should not affect your previously collected results.

While making changes this late is not recommended, it is still possible to make changes that affect your Materials and Methods, Test Plan, or other poster and Portfolio sections, as long as you properly document those changes. You can then include them in your Evaluation presentation and explain what was changed, what was done afterward, and why.

Exhibition presentation.
